Invoice finance for healthcare staffing agencies

Healthcare staffing agencies carry payroll while hospitals, care providers and other clients process invoices. Invoice finance may provide earlier access to eligible fees for completed shifts.

Positive Funding Limited is a finance broker. Funding is subject to provider assessment and agreed terms.

Approved shifts need to become usable cash

A growing agency can place more workers without receiving client payments any sooner. Timesheet approval, portal submission and account reconciliation all affect when an invoice is ready to be paid—and potentially funded.

Map those steps alongside payroll. An advance is useful only if approved receivables become available in time and in sufficient amount to support the agency’s commitments.

Resolve timesheet gaps

Missing approvals can delay the invoice and reduce the debt available for funding.

Identify the debtor

A hospital, care group or staffing intermediary may occupy a different role in the payment chain.

Allow for payroll peaks

Check headroom before increasing placements or taking on a concentrated client account.

Funding an approved staffing balance

Complete the approval trail

Connect shifts, agreed rates and client-approved timesheets to the invoice. Explain any portal or intermediary requirements.

Check funding against payroll

The provider assesses eligible debts and limits. Compare the proposed release with wages and other obligations, keeping provision for exclusions.

Reconcile receipts and corrections

Allocate client payments and rate adjustments accurately. The remaining balance depends on the advance drawn, fees and any credits.

A well-known care client is not the whole assessment

Explain the contracting entity, payment chain and approval conditions. A shift supplied to a hospital may be invoiced through an intermediary, while separate care homes may belong to different legal entities. Disputes over rates or hours can affect funding even where the end service user is familiar.

Choose finance and administration separately

Invoice factoring

Factoring may relieve some payment chasing. Check whether the collections team can work with the portals and approval processes your clients use.

Invoice discounting

Discounting may suit an agency with strong in-house controls. Your staff continue reconciling customer receipts and resolving timesheet issues.

Selective invoice finance

A selected-client facility may be considered where one account creates the gap. Payroll processing, if required, is a separate service to confirm rather than assume.

Compare factoring and invoice discounting before choosing who manages collections.

Illustration: completed healthcare shifts

Assume £46,000 of approved shift invoices qualifies at 85%. The initial advance would be £39,100, leaving £6,900 before fees. Unapproved hours are outside this illustration.

The figures do not promise an advance rate or establish that the amount will cover the agency’s entire payroll.

Include support services in the price comparison

Ask what is charged for finance, collections and any optional payroll administration. Use actual approval delays and expected drawings when comparing proposals. Minimum fees and exit terms also affect affordability. See our invoice finance costs guide.

Prepare the agency’s approval and payment records

Bring client agreements, rate schedules, sample timesheets, debtor ageing and payroll dates. Explain portal arrangements, large customer exposures and disputed balances. Recent accounts and existing finance details help complete the business assessment.

Healthcare staffing funding questions

Can an agency supplying public-sector clients enquire?

Yes, but public-sector involvement is not automatic approval. The provider still assesses the legal debtor, payment chain and invoice conditions.

What if the timesheet is not approved?

That may prevent funding until the payment entitlement is clear. Identify approval delays before relying on the invoice for the next payroll.

Is payroll administration included?

Only if expressly part of the service. Establish who calculates pay, makes payments and resolves errors; arranging finance alone does not transfer those tasks.

Can we change finance providers between payrolls?

A transfer requires planning around notice, settlement, security and ongoing cash availability. Do not assume a switch can be completed within one pay cycle.
